Scope of Services and Service Specifics

Service Offer

The LRZ grants the customer worldwide access and use of the service "BayernCollab" based on the software "Confluence" of the company Atlassian by means of access through a browser.

Access variants

The BayernCollab instance is accessed via a browser or via corresponding apps from the manufacturer for Android and iOS.

Data storage

The LRZ provides the customer with storage space on its servers as part of the BayernCollab service. A fair use policy applies to the use of the storage area. Currently, the LRZ calculates 0.2 GB of storage space per licensed user of an institution, but at least 200 GB per institution. If a facility exceeds this soft limit, the provider will contact the facility.

The LRZ will ensure that files are backed up on a regular basis.

Admin Interface

The LRZ provides a self-developed web portal and REST API for defined admin tasks. The following tasks can/must be performed via the portal

  • Spaces: Creation/deletion of Spaces; all Spaces are assigned a Spacekey prefix defined for the setup.
  • Anonymous access: A worldwide anonymous access can be activated for Spaces of an institution.
  • Group management: It is possible to create local groups in BayernCollab for easier administration and to use them for authorizations.
  • Guest management: Each institution can accept guests into BayernCollab and is responsible for the user objects.
  • Reporting: Information about the usage by the respective institution

Authorization and authentication

Currently the following authentication systems are supported for authentication

  • LDAP for institutions in the Munich Science Network (MWN)
  • Azure for institutions outside the MWN

Service Parameter

The systems for providing the service run in a cluster on virtual machines behind a load balancer.

Requirements

Contact person

The facility defines at least two technical contact persons as contacts. The technical contact persons are responsible for communication within the institution regarding malfunctions, maintenance or changes to the BayernCollab service. Requests for adjustments to the service are only received via the reported contact persons.

Authorization and authentication

The respective institution is responsible for providing the authentication data (ID and password). The participating institution is also possibly responsible for an opt-in solution so that individual users agree to the use of Confluence and thus to the visibility of their information (name, first name, email address) in a Bavaria-wide wiki.

Support

BayernCollab is operated in a tiered support model. All requests from end users of the respective participating institution to use BayernCollab (1st level support) must first be viewed and processed by the respective institution. Requests to the LRZ regarding BayernCollab can only be submitted via the registered technical contact person of the respective institution.

In principle, all Bavarian colleges, art colleges and universities (user classes (1) and (2)) are authorised to use the system.

Fees

There are currently no licence and operating costs for facilities.
