Microsoft Exchange Hosting

Microsoft Exchange is a groupware product that, in addition to mail functionality, includes personal and shared calendars, address books, contacts and a task management system. To access Exchange, it is recommended to use Microsoft Outlook or the web interface Outlook Web App (OWA). Access is also possible via mobile devices and IMAP/POP clients such as Thunderbird, but in this case the groupware functionality (calendars, contacts, etc.) can only be used with restrictions or not at all.

The Microsoft Exchange service includes

• Setting up a separate client so that the data of an institution (for example, addresses in the address book) is only visible to users of this institution
  • the minimum number of mailboxes, employees, for setting up a client is 50.
• Setup of the desired mail domain(s)
• Personal mailboxes including calendar (with shared scheduling), task management and more
• Shared mailboxes for the joint processing of a mailbox by several people
• Room and equipment mailboxes for the reservation of rooms and equipment
• Distribution lists
• Mailbox size of 5 GByte (expandable in 5GB steps for an additional charge: 10,15,...GB)
• Shared, institution-wide address book
• Backup of mailboxes several times a day
• Scanning incoming mail for viruses and spam
• Setup of forwarding and absence messages
• Access with Microsoft Outlook 2016 and higher
• Webmail access with Outlook Web App (OWA)
• Access with mobile devices via Active Sync
• Access with IMAP/POP clients such as Thunderbird

The Exchange service is implemented on a cluster of servers and is therefore largely fail-safe in case of hardware problems.

User Guidelines

The rules and restrictions applicable to mail operation are described in the “Guidelines for the LRZ Mail Servers” and “Policies for the Exchange Service”.

Licence Fees

The correct licensing of the client systems with regard to the operating system, client access licences for Windows Server, applications for using the service is the sole responsibility of the customer and must be carried out properly by the customer. The following licences are required per client for this service:

• 1x Windows Server CAL
• 1x Exchange CAL (employees, students)
• Optional: Outlook (from version 2016 / for Exchange 2019 at least Outlook 2016 is recommended)

The licences can be purchased from the LRZ. The costs for licensing the necessary server systems are borne by the LRZ.
